Management Assistant Officer (1-year renewable contract)
Job Description
We are seeking a highly organised and proactive Management Assistant Officer to provide comprehensive administrative and coordination support to Prof Andrea. The successful candidate will be responsible for managing calendars, coordinating meetings and events, arranging travel, and handling ad-hoc matters with discretion and efficiency.
Key Responsibilities
Calendar and Schedule Management
- Coordinate and prioritise Prof Andrea’s calendar, balancing meetings, travel, and personal commitments.
Meeting and Event Coordination
- Organise meetings and events, including preparing materials, recording minutes, and following up on action items.
Travel and Logistics Management
- Arrange local and international travel, including itineraries, bookings, visa applications, and expense claims.
Crisis and Ad-hoc Response
- Handle urgent matters, last-minute changes, and unforeseen issues in a timely and professional manner.
Qualifications
- O-Levels (minimum), Executive Assistant training is an advantage
- 10+ years in a fast-paced executive or chief-of-staff support role
- Proactive gatekeeper and problem-solver
- High EQ with strong judgment, discretion, and adaptability
- Thrives under pressure, calm in chaos
- Excellent communicator with savvy instincts
- Experience with event coordination
- International travel
- Calendar optimization
- Microsoft365 (Outlook, Teams, SharePoint, Work, PowerPoint, Excel)
- SAP Concur
