Job Summary
Department Specific Responsibilities: Responsible for program-related support work that includes serving as a resource to student program participants. Provides administrative support for program activities designed to enhance and reinforce the academic engagement and experiential learning capacity of the student experience. May perform occasional duties in support of other functions or business needs. Provides integrated operational and communication support for the O'Neill International Office (OIO). Supports the logistical, financial, and outreach functions that sustain OIO's global programs, ensuring consistency between program operations, faculty coordination, and student engagement. Assists with vendor management, pre-departure planning, financial tracking, and marketing communications, contributing to efficient program delivery and enhanced visibility of O'Neill's international initiatives. Supports the daily operations, planning, and implementation of student programs by coordinating logistics, serving as a liaison with campus partners, assisting participants and faculty, maintaining program documentation, supporting travel and fiscal processes, preparing materials and reports, and providing front-line administrative and participant support. Tracks expenses, coordinate purchasing and payments, maintain organized records, and reporting assistance for operational and fiscal reviews. Assists with marketing materials, digital communications, and event logistics. Contribute to strategies that promote student and faculty engagement. Collaborates with OIO leadership, faculty, and staff to support program operations by providing data collection, reporting, scheduling, correspondence, and front-line assistance to students, faculty, and external partners.
General Responsibilities: Assists with administrative needs related to the daily operations, planning, and implementation of student programs. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail. Serves as a liaison to campus partners for cross-departmental student programming, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation. Provides assistance to program participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Greets students and/or program participants; may assist with program check-in and check-out. Provides directions, support, and information to program participants. Assists with daily scheduling, training, and gathering program feedback. May prepare and disseminate handouts, presentations, or other program materials. Assists with ordering or creation of promotional materials to encourage student participation. Takes on tasks of increasing complexity, such as performing benchmarking research of student programming at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness. May provide guidance to other Student Programming Coordinators.
Qualifications
EDUCATION Required: High school diploma or equivalent (such as HSED or GED). Preferred: Bachelor's degree in international studies, communications, business, or related field.
WORK EXPERIENCE Required: 4 years in office environment, higher education, or related field.
