About the Role
Curtin University are seeking a proactive and highly organised Administrative Officer to join our Properties, Facilities & Development (PF&D) team on a full-time, fixed-term basis until July 2027.
This diverse role provides administrative support across PF&D, working closely with Directors and key stakeholders to help ensure the smooth operation of a large and complex portfolio. You will coordinate a broad range of administrative activities, manage competing priorities and contribute to initiatives that support Curtin's facilities, infrastructure and development projects.
This is an excellent opportunity for an experienced administrator seeking exposure to a dynamic operational environment within one of Australia's leading universities.
Key Responsibilities
In this role, you will:
- Provide high-quality administrative support across PF&D, working closely with Directors and key stakeholders.
- Coordinate diaries, meetings and appointments, ensuring priorities are effectively managed.
- Organise meetings, prepare agendas, coordinate documentation and record actions where required.
- Provide reception and front-of-house support as required.
- Assist with project administration, including tracking actions, maintaining documentation and supporting project delivery.
- Coordinate internal events, workshops and stakeholder meetings.
- Prepare, edit and format correspondence, reports, presentations and other business documentation.
- Process invoices, purchase orders and other administrative transactions.
- Maintain accurate records and filing systems while handling sensitive information with discretion.
- Contribute to the continuous improvement of administrative processes and systems.
Selection Criteria
To be successful in this role, you will demonstrate:
- Demonstrated administrative experience in a busy and customer-focused office environment.
- Strong organisational and time management skills, with the ability to manage competing priorities and deadlines.
- Experience coordinating meetings, calendars, events and administrative activities.
- Well-developed written and verbal communication skills.
- Proficiency in advanced Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
- Strong attention to detail and the ability to maintain accurate records and documentation.
- Ability to handle sensitive information with discretion and professionalism.
- Strong interpersonal skills and the ability to build effective working relationships with a broad range of stakeholders.
- A proactive, flexible and team-oriented approach to work.
- Experience providing administrative support within a large or complex organisation will be highly regarded.
Role Requirements:
- As this is a fixed-term contract, you will require current work rights in Australia that match the tenure of this role
